Calendar View

QPunch’s Calendar view offers a centralized hub for visualizing team member tasks in daily, weekly, or monthly formats. This documentation is designed to guide you through leveraging QPunch’s Calendar view to effectively manage project timelines, as well as ensure task workload and overall utilization percentages is balanced efficiently amongst team members

  1. To begin with, navigate to Project Settings, then select Project Configuration on the left side pane and ensure that the ‘Show Team Calendar’ toggle is on to allow the display of the team members’ task schedule in the Calendar view.   

2. Users can access the Calendar page from the Project Settings view using the middle icon at the top right, marked in the image above. Alternatively, they can navigate to the Calendar page from the Home page by selecting the calendar icon shown in the image below:

3. The Calendar view shows the project’s tasks and team members’ overall utilization percentage. The calendar’s display format (daily, weekly, monthly) can be changed using the dropdown menu as shown in the image below. Moreover, the arrows at the top corners of the calendar can be used to navigate backward or forward in time.

4. Adding a task through Calendar View:

  • In the calendar view, click the plus (+) icon to add a new task for a specific team member, which will increase their utilization percentage for that period. If a team member’s utilization exceeds 100%, the text color will turn red, indicating overutilization. Tasks will need to be adjusted to rebalance the workload (see point 7).
  • After clicking the plus (+) icon, a prompt will appear to create a punch. Once the task details have been entered in the pop-up box, select the create button to assign the new punch to the specified team member.

5. Editing a task on the Calendar view:

  • Select the task you wish to make changes to directly from the calendar view.
  • Make the changes to the pop-up display of the chosen task and allow the data to be saved.

6. Deleting a task from the Calendar view:

  • Deleting a task that is assigned to a team member will reduce the member’s utilization percentage. Click on the ‘delete’ icon to delete a task as shown below:

7. Moving tasks in the Calendar View:

  • A task’s start and due dates can be changed on the Calendar by dragging and dropping it to a new column. Adjusting tasks across different time periods can also help in rebalancing workload utilization.
  • A task can be reassigned to a different member by simply dragging and dropping to the new member’s row in the Calendar view. This can be used to rebalance the utilization percentages across members of a project.

8. Splitting tasks in the Calendar View:

  • Tasks with a duration of greater than one day can be split by simply selecting the split icon as displayed in the image below.
  • The new dates can be adjusted to the user’s preferences in order to split the desired task into two and selecting the ‘Split’ button on the pop-up box.

9. Cloning tasks in the Calendar View:

  • Click on the ‘Clone’ icon to duplicate a task assigned to a team member as shown below:
  • The cloned task will appear as a duplicate task on the Calendar view.
